An illustrative scenario written to show how a workflow would run. It is not a description of an existing customer.

The situation

A language school gets a wave of enquiries before each term and almost none in between. During the wave, enquiries outnumber the people who can answer them; the ones answered on day four have usually enrolled elsewhere. There is also no record of who enquired and did not enrol, so the next term starts from nothing.

How the enquiry runs

An enquiry answered immediately, qualified on level, and followed up until it resolves either way.

    Enquired, assessment booked, assessment completed, enrolled — the stages the school actually uses.

    Follow-up runs until it resolves

    A defined sequence: a reminder before the assessment, a follow-up after it, and a final message before the term starts. It stops the moment the person enrols or asks it to.

    Non-enrolments are kept for next term

    Anyone who enquired but did not enrol is recorded with their level and their reason, and contacted once when the next term's schedule is published.

    Staff handle exceptions only

    Fee negotiations, corporate group bookings, and anything about a specific teacher go to a person, with the enquiry history attached.

Where the person comes in

The agent answers schedule, level, and fee questions from published information, and books assessments. Discounts, corporate contracts, complaints, and any promise about a specific teacher or outcome go to a person.

What this scenario depends on

  • Assessment slots available in a bookable calendar
  • Published fees, or a clear rule that fees are not quoted automatically
  • The enrolment stages the school actually uses
  • Consent handling for next-term contact, with a working opt-out
  • Platform and AI usage costs, billed to the school directly
